Iron Thread Films operates this website and provides strategy, storytelling, photography, and video production services from Virginia. This policy explains how we handle personal information through our website, inquiries, communications, and client and project administration.

Information we collect

• Information you provide: names, email addresses, phone numbers, company and business details, project goals, budgets, timing, property or production locations, and other information voluntarily submitted through our inquiry forms, scheduling tools, email, or other communications.
• Client and project records: inquiry submissions, contact and CRM records, proposals, quotes, agreements, invoices, scheduling details, production briefs, project communications, approvals, deliverables, delivery history, and related service records. Project materials may include images, voices, or other personal information supplied or created for an engagement.
• Website information: technical and usage information such as IP address, browser and device information, requested pages, approximate location derived from network information, and diagnostic or security logs. Cookies and similar technologies may support essential website operation and, where enabled and permitted, analytics or optional functionality.
• Payment administration: billing contacts, invoices, transaction references, payment status, and related records. If electronic payment options are offered, the applicable payment providers process complete card or bank credentials; Iron Thread Films does not store those credentials directly. Please do not send card or bank credentials through inquiry forms or ordinary email.

How we use information

We use information reasonably necessary to respond to inquiries; develop proposals and quotes; administer client relationships, projects, and agreements; schedule discovery conversations and production; manage invoicing and payment administration; deliver work and customer service; protect our website and records; diagnose issues; and understand and improve our website and services. We limit collection and use to relevant, disclosed purposes and any other use permitted or required by applicable law.

Service providers and disclosures

We use Wix for website hosting and business tools, including forms, CRM, scheduling, and project administration. We also use providers for business email and calendars, virtual meetings, file storage and delivery, and other necessary operations. For example, scheduled discovery conversations may use connected Google Calendar and Google Meet services. The Real Estate inquiry form uses Google address suggestions and a map to verify a property location; using that feature sends the address search and technical connection information to Google. Website typography is also delivered through Google Fonts. Payment providers may process transactions when payment options are offered.

We share relevant information with service providers, production collaborators, and professional advisers as needed for their work, subject to appropriate arrangements. We may disclose information when required by law, to address fraud or security issues, to protect legal rights, or in connection with a business reorganization subject to appropriate protections. Providers may process information in the United States or other countries; applicable safeguards depend on the service and law. Third-party services also have their own privacy notices.

Cookies and your privacy choices

Essential cookies and similar storage support functions such as security, authentication, and the inquiry-to-scheduling handoff. Optional analytics, marketing, or enhanced functionality may use additional technologies. Inquiries and marketing

Submitting a project inquiry lets us respond and administer the requested conversation or service. It does not by itself subscribe you to unrelated ongoing marketing. A CRM contact is not automatically a marketing subscriber. If we offer a promotional mailing list, we will provide a distinct opt-in where required and a way to unsubscribe. Service-related communications may still be necessary to manage your inquiry or project.

Retention

We retain information for as long as reasonably necessary for its purpose, considering the status of an inquiry or engagement, contractual delivery and retention periods, accounting and legal obligations, security needs, and dispute resolution. Retention may differ for contact records, agreements and invoices, production assets, and delivery records. Project-specific agreements govern any promised asset storage or delivery period; this policy does not promise indefinite archival storage. We delete, anonymize, or restrict information when it is no longer needed, subject to applicable obligations and ordinary backup cycles.

Security and information minimization

We use reasonable administrative, technical, and organizational safeguards appropriate to the information and our operations, including limiting access to people who need it. No internet transmission or storage system is completely secure. Please submit only information relevant to your inquiry or project and avoid unnecessary sensitive information or information about others that you are not authorized to share.

Access, correction, deletion, and other requests

Describe your request and the email address or project associated with your records. We may reasonably verify your identity or authority before acting. We will explain applicable limitations, such as information needed for legal obligations, security, or ongoing contractual matters, and respond within any legally required period. To request reconsideration of a response, reply to us at the same address. You may also contact a competent regulator where applicable law provides that right.

Children

This website is directed to businesses and adults seeking production services, not children under 13. If you believe a child has provided personal information through the website, contact us so we can address it.
